The booking process for a yachtcharter holiday is really simple, in general. But as with all contracts there are a few things to be considered and clarified to make sure that you have a reliable framework for a perfect yachtcharter holiday.
The following information has to be included in the charter contract: Charterer with name, address and preferably telephone number and e-mail address, port of departure and return, charter date, desired yacht. If you also want to ordera dinghy, an outboard, autopilot, spinnaker or skipper as well as flights, insurance, hotel, transfers or anything else, you should note it here. The booking office can then process everything at once, which saves all parties a lot of time.
Booking Confirmation
Once your charter registration form has been received by the yachtcharter agency or charter company, the booking confirmation, the invoice and the charter contract are usually sent to you by post. In the booking confirmation you will also find all negotiated details and the final yachtcharter price. As a rule, the booking confirmation is also the invoice and contains a list of the payment methods and arrangements. 50% of the charter price (sometimes 30%) is usually due immediately, the remaining balance must be paid to the charter company at least 4 weeks before departure in most cases. The charter contract is provided in 2 or 3 copies and must be signed and returned by the charterer. Then the other parties, that is the charter company and, possibly, the charter agency, countersign it. If all signatures are present, the charterer receives a copy of the contract back.
Rights and Obligations
The charter contract regulates all rights and obligations of the charter company and charterer respectively. Essentially, it contains: Addresses of the contracting parties, details of the charteryacht, charter period, port and time of handover, cruising area, charter price, amount of deposit, regulations in the case of problems and probably some more issues. The contract and confirmation together are the most important documents for your charter holiday.
In addition to these documents, good charter agencies often send useful information about the charter destination, flight and insurance offers, a crew list form, a check-in list, information and tips for skippers and crew, and some other useful checklists and information. Now at the latest, additional services such as flights, insurance, transfer, etc. should be arranged with the booking office.
Be Prepared! - Save Time at Check-in
The charterer, usually but not always also the skipper of the chartered yacht, is responsible for handling all bureaucratic matters. As soon as possible he should send a completed crew list, copies of the required sailing certificates and, if necessary, also a radio certificate to the booking office, which will forward these documents to the charter base. Such preparations help to save unnecessary waiting time at the beginning of the cruise. If all the documents are well prepared and in order, the documents of the yacht and official registrations and stamps required for departure can be organised by the staff at the base in advance.
Finalize Documents a Month Before Departure
If your second payment has been made in time one month before the charter date, the last documents will arrive from the charter company or agency. This includes the berth of the yacht, contact person on site, possibly a boarding pass and a map of how to get to the charter base. Together with all mail received earlier, the paperwork is now complete.
